If you are needing to create a payslip template for your business, it is important to understand the legal necessities. For many, a payslip is simply a record of pay for each employee; however, it is important as it contains all deduction details, and tax accountabilities to the employee.

The first thing to understand with a payslip template; is it has to be in written form. Now, this does not mean it cannot be provided electronically, but it must be easily accessible for employees and able to be downloaded and printed as and when required.

What may be surprising for many is the relatively small amount of information that is required by law on a payslip.

The amount of Gross pay an employee has earned in the given time period is required, in order to check the correct pay was given.

Information regards fixed deductions taken, including details of both the amount deducted and the party for whom or what it was taken for, is also required.

As with fixed deductions, the same information is required for variable deductions. If an employee is a freelance too, this will be vital to ensuring they are able to complete tax returns on time and correctly.

Most importantly for the employee perhaps, and again vital for the taxman, is the correct amount of Net pay given. Also, if the Net pay is paid in more than one method, (say part is given via BACS, and part by check), the breakdown of how this has been divided is also required.

As with most things in business, there are some areas where complete itemization of pay is not necessary however. For example, independent workers, such as contractors or freelance workers do not need this to be broken down, as it falls under “work for hire” regulations.

Of course, many more details can be included in a payslip template, and they should be tailored to suit your own businesses needs. Many companies choose to include the tax code, in order to provide their employee’s with a quick point of reference if tax issues arise. However, this is not a legal requirement.

Before issuing a payslip, it is important to check all details thoroughly, and have them checked by an independent consultant. It is not unusual for employers to be taken to tribunal, or even court, regards incorrect, (or unnotified), information of deductions.

There are many software programs available to help you produce a correct and legal payslip template, however, do ensure that all legal bases are covered before remitting them to your employees.
